Getting Acquainted with Acrobat
Click the e “Page e Thumbnails” button to display the Page
Thumbnails panel. . Here e you will l see small, “thumbnail” images of
each page in the currently y displayed d PDF. You can see the page
numberforeachpageshownbeloweachthumbnailimage.Youcan
click a a thumbnail l to display the e associated d page in the e document
windowpane.Youcanusethescrollbarattherightofthepanelto
scrollthroughmanypages.Atthetopofthispanelareafewbuttons.
The“Options”buttonistheonewithadrop-downmenu.Youusethis
menutofindcommonpageeditingtools.Totherightofthe“Options”
button,areseveralfamiliarbuttons.The“DeletePages,”“Insertpage
fromanotherfile,”“RotateCounterclockwise,”and“RotateClockwise”
buttonsalsoappearintheQuickToolstoolbar.However,theremay
beaslightdifferenceinthe way these buttons work,dependingon
which button you click. For example, if you click k the e “Rotate
Clockwise” or “Rotate Counterclockwise” buttons in the Page
Thumbnails panel, , Acrobat rotates the e active e page 90 degrees
clockwise or counterclockwise. . However, , if you click k the “Rotate
page”buttonupintheQuickToolstoolbar,the“RotatePages”dialog
boxopensandofferschoicesaboutwhichpagestorotate.
Intheupper-rightcorneroftheNavigationPane,youcanclick
the“Close”buttonand“Expand”buttontoeithercloseorexpandthe
panel youare currentlyviewing within the Navigation Pane. These
buttonsappearwithinallthepanelsinthispane.
Click the “Bookmarks”button below the“Page Thumbnails”
buttonintheNavigationPanetoexpandtheBookmarkspanel.This
panelallowsyoutonavigatethroughthebookmarksinaPDF.The
Bookmarkspanelalsooffersafewbuttons atthetop ofthe panel.
Thefirstisan “Options”button,whichopensadrop-down menuof
bookmarkcommands.Therearealsobuttonsatthetopofthepane
whichallowyoutoquicklydeletebookmarks,addanewbookmark,

TheNavigation Pane, which appears as acollapsed pane atthe left side ofthemaindocument
window,displaysfourbuttonsby default.Whenclicked,each buttonopensadifferentpanelthat isthen
displayedwithintheNavigationPane.Thefourbuttonsshownby defaultwithintheNavigationPane are
“PageThumbnails,”“Bookmarks,”“Attachments,”and“Signatures.”Inthislesson,youwilllearnaboutthe
functionsavailablewithinthesepanels.
Youcanright-clickthebuttonbaratthefarleftsideoftheNavigationPanetoseeapop-upmenuof
buttonsthatrepresentalloftheavailablepanelsthatcanbedisplayedwithintheNavigationPane.Buttons
withinthispop-upmenuthatshowacheckmarknexttotheirnamesarecurrentlybeingdisplayedwithinthe
NavigationPane.Buttonswithoutacheckmarknexttotheirnamesarenotbeingshown.Youcanclickthe
buttonnamesinthepop-upmenutodisplaytheassociatedpanelswithintheNavigationPane.Whenyou
initially displayapanel,abuttonforthatpanelwillthenbeaddedtotheNavigationPane.Youcanthen
simplyclicktheassociatedbuttonintheNavigationPaneinthefuturetoviewthecontentsofthatpanel.If
youwishtoremovethepanelbuttonsthatyouhaveaddedtotheNavigationPane,youcanright-clickthe
NavigationPaneandselectthe“ResetPanes”commandtoresetthedisplayoftheNavigationPaneback
toitsoriginalfourbuttons.

variousdigitalsignaturesassociatedwiththeactivePDF.Atthetop
of the pane, the e “Options” ” button offers commands for adding
electronic signatures to a PDF, as well l as s commands forviewing,
validating,andclearingsignaturesfromaPDFdocument.

.6-Opening&CreatingPDFsandUsingtheWelcomeScreen:
Whenyoufirstlaunchthe Acrobat application,mosttoolbarbuttonsare dimmed,taskpanesare
collapsed,andtheWelcomescreenisdisplayed.OntheleftsideoftheWelcomescreen,underneaththe
words“OpenaRecentFile,”you’llseeseveralbuttonsrepresentingthemostrecentfiles thathavebeen
openedinAcrobat.ToopenoneofthesePDFs,clickthebuttonwiththatfile’sname.
YoucanopenanexistingPDFfileon yourcomputerbyclicking the“Openfile”buttonwithinthe
QuickToolstoolbarorbyselecting“File|Open…”fromtheMenuBar.IftheWelcomescreenisopened,you
canalsoclickthebuttonwiththe“Openfile”iconandthewords“MyComputer…”onit.Doinganyofthese
tasks willlaunchthe“Open”dialogbox,whichyouusetonavigateyourcomputertofindthePDFfileto
open.Onceyoulocateit,clickitoncetoselectit,andthenclickthe“Open”buttonwithinthe“Open”dialog

Toopenand editanexistingPDFdocument,clickthe“EditPDF”buttoninthe Welcomescreen.
Whenyouclickit,the“Open”dialogboxislaunched.Whenyounavigateusingthe“Open”dialogboxthis
time,you’llonlyseePDFfilesdisplayedbecauseyoucan’tusethe“EditPDF”buttontoopenanythingother
thanPDFfiles.Asbefore,usethe“Open”dialogboxtonavigatetothePDFfiletoedit,selectit,andthen
clickthe“Open”buttonwithinthedialogboxtoopenandeditthePDFfile.
To create a new PDFform, click the “Create Form” button n in n the Welcome screen to launch a
“CreateForm”dialogboxthatletsyouchoosebetweeneithercreatingaformfromscratchoratemplate,or
creatingaformfromanexistingdocumentfile,suchasaMicrosoftWordfile.
To combine multiple, existing files into a single PDF, click the “Combine Files into PDF” button
withintheWelcomescreentoopenthe“CombineFiles”dialogbox.Fromthisdialogbox,youcanchoose
thevariousfilesthatyouwanttocombineintoasinglePDFandarrangethemintheorderyouwant.
Thelastbuttononthe“SelectaTask”sideoftheWelcomescreenisthe“GetDocumentsSigned”
button.Whenyouclickit,theSignpaneexpands,givingyouaccesstosignaturetools.
AttheverybottomofAcrobat’sWelcomescreen,you’llseeamessagefromAdobe.Thismessage
changes, and is s usually promotional in nature. Sometimes you’ll be e offered tips, tutorials, or even the
opportunitytotakeasurvey.

YoucancustomizethetoolbarsthatappearwithinAdobeAcrobattoaddandremovebuttonsforthe
features and functions within theprogram.You can see the button sets, alsocalled buttongroups,that
appearbydefaultintheQuick ToolstoolbarandtheCommonToolstoolbarinthepictureshownbelow.
Eachsetisdividedbyadividinglinesothatyoucanmoreeasilyseparatethem.Theyhavebeenlabelled
for your convenience e so o that you can see which sets s appear by y default. . This makes s customizing the
toolbars,andnoticingwhencustomizationshavebeenmadetoAdobeAcrobatXI,easier.
TherearetwowaysthatyoucanaddandremovebuttonsfromthetoolbarsinAdobeAcrobatXI.
Onewayistoright-clickeithertoolbar,anywhereexceptthe“QuickToolsbuttons”area,toviewapop-up
menu of commands you can useto modify the toolbars. Alternately, you can select “View| Show/Hide|
ToolbarItems”fromtheMenuBartoseethesamemenuofcommandsshownasasidemenuofchoices.
Withinthismenu,youcanseethenamesofthevariousbuttonsetsshowatthetopofthemenu.Youcan
rollyourmousepointeroveranybuttonsetnameshowntoseethespecificbuttonsthatareavailablewithin

allofthebuttonswithintheselectedbuttonsettotheirrespectivetoolbar.Forexample,toaddallofthe
buttonswithinthe“Edit”buttonsettotheCommonToolsToolbar,youwouldrolloverthe“Edit”command
andthenchoosethe“ShowAllEditTools”command.
Youcanresetabuttonsettoitsdefaultappearanceaftermakingmodificationtoitbychoosingthe
“Reset[buttonsetname]Tools”commandfromthesidemenuofchoicesthatappearswhenyourollover
therespectivebuttonsetinthemenu.Forexample,toremoveallofthebuttonsinthe“Edit”buttonset(as
noneappearbydefault),youwouldselect“Edit|ResetEditTools”fromthemenutoresetthosetoolsto
theirdefaultappearance.
Toresetalltoolbarsetsbacktotheirdefaultstates,youcanselectthe“ResetToolbars”commandin
themenuthatappearswhenyouright-clickatoolbarorselect“View|Show/Hide|ToolbarItems”fromthe
MenuBar.
Youcanalsohideandshow allofthetoolbars withinAcrobatXI,ifyouprefer.Todothis,select
“View|Show/Hide|ToolbarItems|HideToolbars”fromtheMenuBar.Todisplaythemagain,select“View|
Show/Hide|ToolbarItems|ShowToolbars”fromtheMenuBar.Thisissimplyatogglecommandthatwill
toggle the display of the toolbars s on n and off. You can also use the keyboard shortcut of “F8” on your
keyboardtotogglethedisplayofthetoolbarsonandoff.Thiscanbehandytonoteincaseyouaccidentally
pressthe“F8”keyonyourkeyboard.
YoucanalsohidethedisplayoftheMenuBarbyselecting“View|Show/Hide|MenuBar”fromthe
MenuBar.Todisplayitagain,youwillneedtopressthe“F9”keyonyourkeyboard.Thiskeyboardshortcut
will toggle the e display of f the Menu Bar both on n and d off. It t is s also useful to o remember r in case you
accidentallypressthe“F9”keyonyourkeyboardwhileworkinginAdobeAcrobat.

.8-CustomizingtheQuickToolsintheQuickToolsToolbar:
OneofthehandiestfeaturesofAdobeAcrobatisitscustomizableQuickToolstoolbar.Eventhough
Acrobathasawidevarietyoftoolsandfeatures,manyusersfindthattheyuseafewtoolsmorethanthe
rest.BycustomizingtheQuickToolstoolbarwithfeaturesthatyouaccessregularly,youcanstreamline
yourworkprocessandsavetime.
In its default setting, the Quick k Tools s toolbar contains s buttons s which execute some of the most
commonly-usedcommandsinAcrobat.TheQuickToolstoolbaralsocontainsthe“EditCurrentToolSet”
button.Thisbutton,whichlookslikeasmallgear,willlaunchthe“EditToolSet”dialogbox.
Whenyoulaunchthe“EditToolSet”dialogbox,noticeanareaatthetopwhichreads,“Toolsto
showinQuickToolsToolbar.”Thisareaunderneaththe“ToolstoshowinQuickToolsToolbar”areashows
youthebuttonsinthesectionofthetoolbarthatcanbecustomizedbyusingthisfeature.
Atthetoprightofthe“EditToolSet”dialogbox,you’llseefourbuttons.Thefirstoneisthe“Add
Divider to Quick k Tools s Toolbar” button. Dividers s are e nonfunctional l elements s that are e primarily y used to
organizegroupsofbuttons.Totherightofthe“AddDivider”button,you’llseethe“MoveLeft”and“Move
Right”buttons.Totherightofthosebuttonsisthe“RemovefromQuickToolsToolbar”button.
ToremoveabuttonfromtheQuickToolstoolbar,clickthebuttonyouwanttoremoveshownwithin
the“ToolstoshowinQuickToolsToolbar”areatoselectit.Noticethebutton’sbackgroundcolorturnslight
blueto indicateitisselected.Thenclick the“RemovefromQuickTools Toolbar”button.Ifyouclickthe
“Save” button at the bottom of the dialog box, the selected button will disappearfrom the Quick k Tools
toolbar.
ToaddabuttontotheQuickToolstoolbar,firstfindthebuttontoaddwithinthebuttongroupings
shownattheleftsideofthedialogboxinthe“Choosetoolstoadd”section.Youcanexpandandcollapse
thebuttongroupsbyclickingthetitleofeachgroupingshown.Whenyoufindthebuttonyouwanttoaddto
theQuickToolstoolbar,clickittoselectit.Thenclickthe“AddtoQuickToolsToolbar”buttoninthemiddle
ofthedialogboxtoaddtheselectedbuttontothe“ToolstoshowinQuickToolsToolbar”area.Ifyouclick

theleftofwhereyouwanttheDividertoappear.Thenclickthe“AddDividertoQuickToolsToolbar”button.
TheDividerwillbeaddedimmediatelytotherightofwhateverbuttonisselected.OnceyouaddtheDivider,
youcanmoveittotheleftorrightjustlike youmovedthebuttons,by usingthe“MoveLeft”and“Move
Right” buttons.You can also click the “Remove from Quick Tools Toolbar” button to delete a selected
Divider,ifneeded.Onceyougetthe“ToolstoshowinQuickToolsToolbar”arealookingthewayyouwant,
clickthe“Save”buttonatthebottomofthedialogboxtosaveyourchanges.Thedialogboxcloses,and

AtoolsetinAcrobatXIisacombinationofasetofbuttonsthatwillappearintheQuickToolsarea
oftheQuickToolstoolbaraswellastaskpanesthatwillappearinthetaskpaneareawhenyouclickthe
“Tools”buttonattherightendoftheCommonToolstoolbar.
Bydefault,youhaveaccesstotwotoolsets:the“DefaultTools”toolsetandthe“CommonTools”
toolset.However,youcanalsocreateandcustomizeyourowntoolsetsfortheactivitiesthatyouperform
mostofteninAdobeAcrobatXIProtosimplifyyourworkflow.Youcanevenimportandexportsavedtool
setssothatyoucaneasilymovethemtoothercomputersthatalsohaveAdobeAcrobatXIProinstalledso
youwon’tneedtorecreatethemonmultiplemachines.
Youcanviewandmanagethetoolsetsbyeitherclickingthe“Customize”buttonattherightendof
theQuickToolstoolbarorbyselecting“View|ToolSets”fromtheMenuBar.Doingeithertaskwilldisplaya
menuofcommandsthatallowyoutochoose,create,andmanagethetoolsets.
Withinthismenu,thecurrentlyselectedtoolsetwillappearwithacheckmarknexttoitsname.By
default,the“DefaultTools”toolset,whichappearsatthetopofthemenu,isselected.Thistoolsetcontains
thedefault buttonsshown in the Quick Tools sectionof the QuickTools toolbarandthe defaultpanels
showninthetaskpanewhenyouclickthe“Tools”buttonattherightendoftheCommonToolstoolbar.Any
modificationsmadetotheQuickToolstoolbar,asshowninthepreviouslesson,willprobablybeappliedto
thistoolsetunlessyouselectedadifferenttoolsetpriortomakingthemodifications.Anycustomtoolsets
thatyoucreatewillappearinthethirdsectionofthismenuinthefuture,nexttothe“CommonTools”tool
setchoice.
Tocreateanewtoolset,selectthe“CreateNewToolSet…”commandinthemenuofcommandsto
openthe“CreateNewToolSet”dialogbox.YouusethisdialogboxtochoosethetoolstoaddtotheQuick
Tools toolbarand thepanesthatwill appearin the“Tools”panel ofthe task pane whenthistoolsetis
selected.Ascustomizingthebuttonstoadd totheQuick Toolstoolbarwasjustcoveredin theprevious
lesson,wewillassumeyouknowhowtodothatpartandskipcoveringitagain.Startbycustomizingthe
buttonsthatyouwanttoappearwithintheQuickToolstoolbar.Whenthatisfinished,youcanthenturnto
choosingwhichtoolstoaddtothepanesshowninthe“ToolsinCustomToolspane:”sectionattheright
sideofthisdialogbox.
TocreateanewCustomToolspane,clickthe“Addpanel”buttonatthefarrightsideofthisdialog
box.Typeanameforthenewpanelintothe“AddorEditLabel”dialogboxthatappears,andthenclickthe
“Save”buttoninthedialogboxtoaddthenewpanel.Toaddinstructionaltexttotheselectedpanel,click
the“AddInstruction”button.Typetheinstructionsintothe“AddorEditLabel”dialogboxthatappears,and
thenclickthe“Save”buttontoaddinstructionstothepanel.Toaddbuttonstotheselectedpanel,choose
thebuttonofthetoolthatyouwanttoaddintheleftpaneandthenclickittoselectit.Thenclickthe“Addto
CustomToolsPane”buttontomovetheselectedbuttonintotheselectedpaneltotheright.Toaddadivider
toapanel,clickthebuttonorinstructionthatisabovethelocationwhereyouwantthedividertoappearand
thenclickthe“AddDividertoCustomToolsPane”buttontoaddadividerbelowtheselectedobjectwithin
thepanel.Youcanthenrepeatthis processofaddingpanels,instructional text,buttons,anddividersto
createthepanelswithintheCustomToolsPane.Notethatyoucanclickthepanelnamestocollapseand
expandthecontentsofeachpanelshown,ifneeded.
Youcanchangetheorderoftheelementswithinapanel,ortheorderofthepanelsthemselves,to
movethemupordownwithintheCustomToolsPane.Todothis,firstselecttheitemwhoseorderyouwant
torearrange within the Custom ToolPane.Thenclick eitherthe “Move Up”or“MoveDown”buttonsto
changetheorderoftheselectedelementuntilitisinthedesiredposition.Notethatelementswithinapanel
cannotbemovedfromonepaneltoanother,butmustinsteadberemovedfromthecurrentpanelandthen
addedtothedesiredpanelinaseparatestep.

thetoolsetandthenclickthe“Save”buttontorenamethetoolset.
To copyatoolset,selectthetoolsettocopyfromthe“SelectaToolSet”listandthenclickthe
“Copy”buttontotherighttoopenthe“SaveToolSet”window.Typeanameforthecopyofthetoolsetand
thenclickthe“Save”buttontosaveacopyoftheselectedtoolset.
Todeleteacustomtoolset,selectthecustomtoolsettodeletefromthe“SelectaToolSet”listand
thenclickthe“Remove”buttontotheright.Click“Yes”inthemessageboxthatappearsonscreentodelete
theselectedcustomtoolset.
Tochangethepositionofatoolsetwithinthelist,selectthenameofthetoolsettomovefromthe
“SelectaToolSet”listandthenclickthe“MoveUp”or“MoveDown”buttonstotherightuntilitisinthe
