COLLABORATION
GaaihoCollaborationisanewcloud-basedservicethatallowsuserstoparticipateinmulti-userediting
ofPDFfiles. Thecollaborationoptionsallowdocumentsharing,screensharing,chat,videoandvoice
conferencing,andmore. Multipleuserscanactuallyviewandeditthesamefileatthesametime.
Thesharingandcollaborationisalldonethroughapeertopeerconnection,nopersonalinformationisstoredon
theserver. Documentsandscreensharesessionsareneversavedontheserver,asthatinformationcouldonlybe
savedlocallybytheparticipantsofthemeeting.
1. Tolaunchthisfeature,clickthe“Collaborate”buttoninthetop-rightcornerofPDFConverterEnterprise8.
2. When n Gaaiho Collaboration launches,theuserispromptedto signin. . If f the user does not already have an
account,clickthe“NewID”linktocreateanewaccount.
3. Createanewaccountbyfillingintherequiredfieldsonthe“Gaaiho”dialogshownbelow. . Onceyouprovidea
UserID(whichmustbeavalidemailaddress),PasswordandoptionalNickname,clickthe“Next”buttonto
createtheaccount.
4. Aftertheaccounthasbeencreated,clickthe“SignIn”buttontosignintotheGaaihoCollaborationaccount.

SignInautomatically:LogsthesavedUserAccountinwhentheapplicationislaunched.

UsingPDFCollaboration:
ThetypicalwaytousePDFCollaborationistosharecontentwithothers. Sharingsessionscanbeused
tosharethescreen(thedesktoporapplication),ortoshareaPDFdocumentandallowittobeedited.
Theworkflowtostartsharingcontentis:
1. Double-clickonaFriendsnamefromtheGaaihoCollaborationstartingwindowtoopentheChatwindow.
2. TheChatwindowwillbedisplayed,buttheFriendwillnotbecontacteduntilamessageissenttothem. . Type
outamessage(and/orusethedifferentChatTools)andclicktheSendbuttontosendthemessagetothe
selectedFriend.
3. Afterthemessagehasbeensent,the“ScreenShare”or“DocumentShare”buttonscanbeusedtostarta
sharingsession.

1. Clickthe“StartScreenShare”button(

disregardedandwillnotbecontainedinthefinalcopyofthefile.
5. Click“OK”ontheSecurityOptionsdialogboxandthePDFFilewillopenautomaticallyontheHostcomputer.

6. OncetheinvitedFriendclicksthe“Document”button(whichstartsflashingRedwhenadocumenthasbeen
shared)ontheirChatwindow,theywillseea“Download”linknexttothefilenamebeingshared.
7. Clickthe“Download”linktostartdownloadingthePDFfile.
8. Afterthefilehasbeendownloaded,thesharedPDFfilewillautomaticallyopeninPDFConverterProfessional.
TheFriendviewingtheshareddocumentonthehostcomputercanviewandmakeeditstofile,andsee
changesbeingmadefromthehostcomputerorbyotherFriends.

TherearemultiplewaystostartaMeeting:
1. FromtheGaaihoCollaborationstartingwindow,right-clickaFriendsnameandselectthe“StartaFreeMeeting”
optiontoopenthe“MeetingSetting”window.
2. FromtheGaaihoCollaborationstartingwindow,clickthe“Meetings”buttonandclickthe“Plus”signatthe
bottomofthedialogtoopenthe“MeetingSetting”window.
3. FromanexistingChatwindow,typeaSubjectintheblue“Entermeetingsubject”lineandpressEnterto
automaticallystartanewMeetingwiththeFriendyouwerechattingwith.

Afteropeningthe“MeetingSetting”window,typeaSubjectlineandselecttheFriendstoinvite.Note:
GaaihoCollaborationallowsamaximumof5userstojointhesameMeetingatthesametimeincludingthe

Optionally,clickthe“Permissions”buttontochangeaparticipant’spermissionlevel. Thedefaultpermissions
levelsare“FullPermission”and“LimitedPermission”,butcustompermissionschemescanbecreatedby
clickingthegreenPlusbuttonandenablingordisablingeachofthefollowingpermissionsoptions:

Note:Whenclosingthemeetingtab,thehostcanselectto“EndMeeting”or“PauseMeeting”andaparticipantcan
selectto“StepOutofMeeting”or“QuitMeeting”. Meetingsthatwerepausedorsteppedawayfromcaneasilybe
rejoinedlaterfromtheMeetingstab.
DocumentSharing:
WhensharingaDocumentinaGaaihoMeeting,theparticipantswillallbeviewingthesamePDFdocumentinPDF
ConverterEnterprise8. Eachusercanviewandeditthedocumentindependentlyorasagroup. Ifthesecurity
optionwassettoNormal,thoseeditsbytheparticipantswillberetainedinthefinalsavedcopyoftheshared
document,andeachusercansavealocalcopyofthefile.
Tofollowalongwithanotherparticipant’sviewofthePDFfileduringaDocumentSharingsession,hoveroverthe
"Collaboration"buttonandthenselectthe"Followanotheruser"option. Picktheusertofollowandthedisplaywill
shifttowhatthatselecteduseriscurrentlyviewing.
WhenFollowingisenabled,workingwiththedifferenttoolssuchasannotations,notes,markups,etcwillallbe
displayedinrealtime.

Theusermaynotalwaysseethetextbeingtypedinrealtime. Itmaybenecessarytoclickofftheactivetool
(i.e.clickofftheNote)tomakethetextvisibletotheparticipantsfollowingalong.
AccessingthedifferentmenusandtoolbarsonthePDFConverterProfessionaluserinterfacearenotshown
duringcollaboration.
To change the view of the participant that you are e following, , click k the e “Show user as” button from the
Collaborationtoolbartochangethedisplayoftheuser’sactions. Thedifferentchoicesinclude:
o CurrentToolandID:Displaysthecurrenttoolicon(suchascursor)andtheuser’sID(name).
o LaserPointerandID:Displaysagreendotandtheuser’sID(name).
o DoNotShow:Onlydisplaystheactionbeingperformed. . Thereisnoindicationofthecurrenttoolbeing
usedortheusernamemakingthoseedits.
GeneralNotes:
Right-clickingonaFriend’snameintheGaaihoCollaborationstartingwindowwillallowtheusertoquicklyaccess
commontasks. Usingthismethodtoinitiatetypicalactionssuchasstartingameetingorsharingadocumentcan
beamuchmoreefficientworkflowtoquicklybeginthemeetingorsharingsession.
Theonlyinformationbesidestheemailaddressandusernamethatcouldpossiblybestoredontheserverisany
chatmessagesthatweresenttoaFriendthatwasnotcurrentlysignedon.Thependingmessagewillbeencrypted
andstoredontheserveruntilthatuserlogsintoGaaihoCollaborationagain.Atthatpoint,thependingmessagewill
bedeliveredtotheuseranditisnolongerstoredontheserver.
