Working with Records Manager for AppXtender
Retention
Administration
When you assign an AppXtender document to RM for AppXtender
for retention administration, RM for AppXtender creates a copy of
the document and a document profile and files both in the selected
RM for AppXtender file plan for a pre-specified period of time. The
exact amount of time is based on legal, regulatory, fiscal, or
operational requirements relating to the type of document. The
document contents (page files, annotation files, etc.) and document
index remain in the AppXtender system.
Note: ApplicationXtender Reports Management documents cannot be added
to the RM for AppXtender repository.
As long as a document is under retention administration in RM for
AppXtender, RM for AppXtender rather than AppXtender controls
access to the document. Assuming you have the appropriate user
privileges, you can use AppXtender queries to find the document in
the repository. From AppXtender Search Result Set view, you can
then view the document in Document Display view or check the
document out and make changes to the document in AppXtender or
AppXtender Web Access. For information on retrieving retained
documents, refer to “Working With AppXtender Documents That Are
Filed for Retention” on page 611.
Note: Unless the RM for AppXtender retention policy for a particular file
allows deletion, you will not be able to delete the retained document in
ApplicationXtender before the retention time period expires.
At the end of the retention time period, the document may be
archived or deleted from the system. Depending on how the retention
policy is configured, document disposal may be carried out by either
RM for AppXtender or AppXtender.
Note: Only users with the appropriate RM for AppXtender authentication
and authorization privileges can delete documents from the RM for
AppXtender system.
