Retrieving AppXtender Documents through ODMA
When you open a document using ODMA, you access an
AppXtender dialog box that allows you to search for AppXtender
documents. Searching for documents from an ODMA-compliant
application is very similar to searching for documents in
AppXtender. You enter AppXtender index information or full-text
search criteria to retrieve documents, and the results display on a
separate result set tab. When you are retrieving documents from an
ODMA-compliant application, you can also search using document
attribute information.
In Microsoft Word, for example, when you open a document while
ODMA support is enabled, a dialog box containing document
information, a Search tab, and a Result Set tab appears. You can enter
search criteria, perform a query, and then open a document from the
Result Set tab (if this document was originally in AppXtender as a
Microsoft Word document). The document then displays in Microsoft
Word and can be edited like any Microsoft Word document.
When a document is stored to AppXtender using ODMA, the file is
stored as a foreign file in AppXtender. You can retrieve any
AppXtender document that was saved as a foreign file in
AppXtender (or was saved through ODMA-compliant applications)
into an ODMA-compliant application that can read that file type. For
example, if you imported a Microsoft Word file into AppXtender
through the AppXtender interface, that document page is a foreign
file and you can open it in Microsoft Word using ODMA.
To retrieve a document through ODMA:
1. When retrieving AppXtender documents from an
ODMA-compliant application, you first select a data source and
log into that data source. You can then select an AppXtender
application to search.

2. You can use the ODMA and AppXtender functionality to perform
a query, such as a keyword or wildcard query, to search for a
document. After you enter the search criteria, the documents that
met the search criteria appear in the Result Set tab.
For more information on opening an AppXtender application to
search, refer to “Searching for Documents” on page456.
3. You can then select the document that you want to open from the
Result Set list tab.

page 458.
4. When you open the document, you are prompted to either check
out the document or open it in read-only mode.

Search
To retrieve a document from AppXtender, you must log into an
AppXtender Data Source and select the AppXtender application
where the document is stored.
To open a document in AppXtender using an ODMA-compliant
application:
1. From the Windows Start menu, select Programs. From the
Programs menu, select an ODMA-compliant application, such as
Microsoft Word. A blank Microsoft Word document opens.
2. From the File menu, select Open. The Open ApplicationXtender
Document dialog box appears.

3. From the Select the AppXtender data source drop-down list,
select the AppXtender data source that you want to access.
Note: You can log into only those data sources for which you have a user
account.
4. Click Login. One of the following events occurs:
• If you are using the CM security provider and you did not
select Remember password or if that option was not available
to you, the Login dialog box appears. Type an AppXtender
user name that is valid for the selected data source. Type a
password and click Login to log into the AppXtender data
source. A list of applications for the selected data source
appears in the Select the AppXtender application view.
• If you selected the Remember password option, or if you are
using the Windows security provider, AppXtender remembers
your user name and password and bypasses the Login dialog
box. A list of applications for the selected data source appears
in the Select the AppXtender application view. If you want to
disable the Remember password option, click the Login
button again. The Login dialog box appears. Disable
Remember Password or make whatever changes you would
like and then click Login to log into the AppXtender data
source.

5. Double-click the name of the AppXtender application that you
would like to search in the Select AppXtender application list.

After you select an application and open it, the Search tab of the Open
ApplicationXtender Document dialog box appears.

To search for an AppXtender document in an ODMA-compliant
application:
1. You have several choices:
• If you want to search for documents using known ODMA
attributes, enter information in the document properties fields.
These fields appear in brackets in the Fields column.
• To search using AppXtender index values, enter information
in the index fields. These fields appear in all capital letters in
the Fields column.
• To search using full-text information, enter keywords in the
text box at the bottom of the screen.

You can search using any combination of information. When you
enter both document properties and application properties,
AppXtender assumes that you want documents with both the
entered document properties AND the application properties. All
forms of AppXtender search functionality, including wildcards,
lists of values, and search expressions, can be used to search both
the document properties and the application properties.
If you are using full-text criteria, you have the following choices:
• You can search for the document properties and application
properties AND the full-text criteria by selecting the AND
option.
• You can search for the document properties and application
properties OR the full-text criteria by selecting the OR option.
• If the application is configured to use a K2 full-text engine,
you can search for words that are related to your search
criteria by selecting the Thesaurus option.
Note: For more information on advanced and full-text search options,
refer to Chapter5, ”Retrieving Documents,”.
2. If you want to search for previous document revisions, click the
Include Previous Document Revision check box.
Note: If an asterisk appears in a Values text box in the Application
Properties window, you can select search criteria from a user-defined list.
To do so, highlight the Values text box that has an asterisk in it and
double-click. From the drop-down list that appears, select a value.
3. Click Search. The result of your search is displayed in the Result
Set view of the Open ApplicationXtender Document dialog box.
Note: If no documents met the search criteria, a message appears indicating
that no documents were found. Click OK. The Result Set view appears
empty. To run another query, click the Search tab; otherwise, click Cancel to
exit.

Opening a
Document from the
Result Set
When your search is complete, the results appear in the Result Set
tab. You can choose to open a document listed in the Result Set and
check it out or you can open it as a read-only document.
◆
When you check out a document, you take possession of that
document and other users can only open it in read-only mode
until you check it back in.
◆
When you open a document as a read-only document, the
document is not checked out by you and could be checked out
and modified by another user while you have it open. If someone
else has already checked out a document, you can only open it in
read-only mode.
The folder icons in the Result Set indicate a document’s status.

If you want to find out who has a document checked out, or view the
document summary or index information for a document, you can
access a document’s properties from the result set. For instructions,
refer to “Viewing Properties from the ODMA Result Set” on page461.
You can also open documents from the Result Set.
Note: To perform most ODMA functions, including checking in or checking
out documents or deleting or replacing document revisions, you need to have
the Display, Delete Doc, Delete Page, and Add Page privileges. To modify
indexes you also need the Modify Index privilege. If you have only the
Display privilege, you can only open ODMA documents in a read-only
mode. For more information on the user privileges enabled for your account,
consult your system administrator or refer to the "Managing Security" section
of the ApplicationXtender Core Components Administrator’s Guide.
To open a document from the Result Set:
1. Double-click the document in the Result Set.
2. If the Reason Code Required dialog box appears, enter a
comment in the text box explaining the reason for opening the
document and click OK.

3. What appears next depends on the status of the document. You
have the following choices:
• If the Check out dialog box appears, you can either check out
the document or open it in read-only mode. For information
on checking out a document, refer to “Opening a Document
that is Checked In” on page 462. For information on opening a
document in read-only mode, refer to “Opening a Document
in Read-Only Mode” on page 465.
• If the Open AX Document dialog box appears, you can choose
to open the document in check out mode or in read-only
mode. If you open the document in check out mode, the
document opens with the latest modifications that you made
since checking it out. If you open the document in read-only
mode, the document opens using the version that was
originally checked out (prior to any changes you made). For
information on checking out a document, refer to “Opening a
Document that is Checked out by You” on page 464. For
information on opening a document in read-only mode, refer
to “Opening a Document in Read-Only Mode” on page465.
• If a message appears stating that someone else has the
document open, or that you do not have the privileges to
check out the document, you can only open the document in
read-only mode. When you open the document in read-only
mode, the document opens in the form that it was in when it
was checked out. For information on opening a document in
read-only mode, refer to “Opening a Document in Read-Only
Mode” on page 465.
