The Container type must be set by the user in the Container’s properties. An SMS Container is a Microsoft 
Word document and works just like any other Word-based Container. 
2.2.5 Creating an SMS Precedent 
Users create SMS Precedents exactly like any other Precedent, basing them one of the SMS Container types, 
and storing them in the Precedents list alongside other Precedents for different Matter Types. 
2.2.6 Auto-SMS from Agenda Items 
Users create Agenda Items and attach Precedents to them to be auto-created when the Agenda Item is 
triggered. Since an SMS may be a Precedent, an Agenda Item triggers an SMS message when an SMS 
Precedent is attached to the Item. 
2.2.6 Bulk SMS Messages 
The SMS feature in LEAP Office Documents does not support sending mail-merge style SMS messages to 
multiple recipients where each recipient receives a customised message based on information merged from 
details in the database. However, it is possible to send one pre-formatted message to multiple numbers. Each 
recipient will then receive the same message.

The Fax/SMS settings are updated to allow the user to: 
1.  Sign up for online Fax/SMS 
2.  Send Faxes via U2 
3.  Send SMS via U2 
4.  Specify a task code that is used to bill clients for faxes. If this is entered then a Slip will be created 
for each fax when successfully sent. 
The text of this form relating to the specific provider (‘Send faxes via the U2 fax service’, ‘Send Faxes via U2 
Webservices’ and ‘Send SMS via U2 Webservices’) are configurable in the fax provider settings file. 
Clicking on the ‘Signup for Online Faxing’ button will sign up the client with the fax provider with their default 
details. If users want to change details they can go to the fax provider’s website. 
2.3.2. Fax/SMS Configuration File 
Each client has a configuration file containing details of the service endpoints for the Fax/SMS provider. This 
allows us to quickly and easily change service providers by changing this file if required in the future. 
2.4. Faxing 
2.4.1. Sending Faxes 
Sending faxes is done in exactly the same way as before. There are no changes from the users’ point of view 
to sending faxes. 
2.4.2. Sent Fax Status 
Checking the status of a sent fax is exactly the same way as before. There are no changes from the users’ 
point of view to checking the status of a sent fax. From the Utilities menu, select Faxes Received and Sent, 
then select the Faxes Sent tab.

2.4.3. Receiving Faxes 
Faxes are now received via email. An email address is configured on the U2 website to receive faxes for the 
firm. 
Faxes are assigned to LEAP Office Documents in a similar way to assigning emails via two buttons in 
Outlook: 
1.  A button in the toolbar of the main Outlook window. 
2.  A button in the email detail window of Outlook. 
Both of these buttons are in addition to the assign email ones. 
The text of both of these buttons changed if the fax has already been assigned to the matter. The text is  
•  ‘Assign Fax to LEAP’ – if the email has not been assigned to LEAP Office Documents as a fax, or 
•  ‘Fax assigned to Matter XXXX’ (where XXXX is the matter number the fax is assigned to) – if the 
email has been assigned to LEAP Office Documents as a fax. 
2.4.2.1. Assign Fax to LEAP Button 
The ‘Assign Fax to LEAP’ button opens the window shown in Figure 42:

In this window users can do the following: 
1.  Choose the matter for the fax to be assigned to (multiple selections are not allowed). 
2.  Choose the date to assign the fax at (this will default to the date that the email was received, in the case 
of multiple selection the date is that of the first email in the list). 
3.  Click the OK button to assign the email as a fax to the selected matter. 
Once the OK button is pressed the PDF attachments on the selected emails (may be more than one) are 
saved to the matter with the date selected. The email is left in the same folder (unlike assigning to LEAP as an 
email). 
2.4.2.2. Fax assigned to Matter XXXX button 
The ‘Fax assigned to Matter XXXX’ button is a drop down that has the following options:

Change Matter
This option displays Figure 42 and if the user clicks OK the fax will be removed from the original matter and 
assigned to the new matter selected. 
Remove Fax from Matter
This option removes the fax from the matter in LEAP Documents. 
NOTE: Like emails, faxes can only be assigned to one matter at a time. 
Emails can be attached to a matter as an email and a fax independently. E.g. an email can be 
attached to one matter as an email and another as a fax. 
2.5. Sending an SMS 
2.5.1. Creating a New SMS document 
The user creates a new SMS in one of two ways: from a Container, or from a Precedent. LEAP Office 
Documents creates an SMS from an Agenda Item when the Item has an SMS Precedent attached to it and 
the Agenda Item has an appropriate set of rules. 
2.5.1.1. New SMS from an SMS Container 
The user selects the New Document button on a Matter, and then chooses the SMS document type relevant 
to the task:

Clicking the OK button in Figure 43 sends the chosen Container and recipient information to Microsoft Word to 
be merged with information from the Matter. For SMS Containers, Word displays the SMS editor variant of its 
toolbar (see Figure 45).

2.5.1.2. New SMS from a Precedent 
The user clicks the Use Precedent button on a Matter, which opens the Precedent selector, from which the 
user chooses the SMS Precedent to generate:

Clicking the OK button on the Precedent selector opens the highlighted SMS Precedent in Word. 
2.5.1.3. New SMS from an Agenda Item 
When an SMS Precedent is set to be opened by an Agenda Item, the SMS is triggered and opened 
automatically in Word according to the rules set on the Agenda Item. 
2.5.2. Merging Matter Details 
LEAP Office Documents opens Microsoft Word and requests a mail merge on the selected SMS Container for 
the current Matter. Word also pre-fills the SMS To box with the default recipient’s phone number:

The user reviews and edits the SMS text as required.  
Note: Since an SMS consists only of text, Word ignores the content of the header and footer, and any 
drawing objects. The only content included in the SMS is the text in the body of the Container. 
The LEAP SMS toolbar allows the user to choose the phone number for the recipient by clicking the SMS To 
button next to the phone number box (Figure 46):

Word then displays a dialog allowing the user to choose a number for the recipient. 
This is a list of all cards on the matter that this SMS is for:

The user highlights the intended recipient and clicks the ‘To’ button to copy the recipient’s number into the 
SMS ‘To’ box of the LEAP SMS toolbar. If a Card has more than one mobile phone number, each number is 
listed separately in the Select Contact screen. 
The SMS system supports sending one pre-formatted SMS to multiple phone numbers. Highlighting more 
than one entry in the Select Contact screen (Figure 47) lists all the selected numbers in the SMS To box on 
the LEAP SMS toolbar. 
The user enters other numbers manually using a semi-colon to separate the entries, as in Figure 48:

Once the phone number details are correct, the user clicks the Send SMS button in the LEAP SMS toolbar 
(Figure 48). This returns the merged document to LEAP Office Documents for dispatch as an SMS. LEAP 
Documents sends the SMS immediately, and places it in the Matter’s document list.

2.5.3. SMS Status Updates 
LEAP Office Documents interfaces with the U2 Server to track the progress of the SMS as it is being sent. 
The status of a message transitions through the following stages: 
Status

The server is attempting to deliver the message. If delivery fails, the status changes 
to Failure. If it succeeds, the status changes to Success. 
Success 
The message has been delivered successfully.
Failure 
The message failed to be delivered.
LEAP Office Documents monitors the progress of the SMS and updates its status in the Matter’s document list 
while the server processes the message as shown in Figure 49:

2.5.4. Verifying Delivery 
When the message has been sent successfully LEAP Office Documents collects the delivery receipt from the 
server and stores it in the document’s properties. The delivery receipt screen is shown in Figure 50:

2.5.5. SMS Properties 
LEAP Office Documents stores successfully-sent messages in the Matter’s document list (Figure 49). To view 
the text of a message, the user right-clicks the message in the document list and selects ‘Properties’ from the 
resulting drop-down menu. This opens the SMS Properties window:

LEAP Office Documents displays the full text of the message together with its transmission confirmation 
details. 
2.5.6. Fax Properties 
Sent faxes are shown in the document list as the actual fax (the PDF document that was sent) and not the 
Word document that was used to create it. Several faxes can be sent using the same Word document and
